Calvin T. Ryan Library Policies

General Policy

The Calvin T. Ryan Library has three training, presentation, or conference spaces available for general booking:

  • LIBR001 - Flexible Learning Classroom with seating for 30.

  • LIBR005 - Traditional Computer Lab with seating for 18.

  • LIBR011 - Learning Pod Classroom with seating for 36 around 6 tables.

An additional four smaller conference room spaces are available for booking, with approval from the Library Dean:

  • LIBR101 - Public Engagement Space with closed seating for 40 or public seating for 80 with extensive audiovisual equipment.

  • LIBR105 - Library Dean's Conference Room with a conference table seating 14 and videoconferencing equipment.

  • LIBR109 - Library Conference and Break Room with seating for 20 and videoconferencing equipment.

  • LIBR125A - Collections Area Conference Room with seating for 8.

A more specific policy governs the use of LIBR101 - Public Engagement Space.

Public Engagement Space Usage Policy

The Public Engagement Space is available to the university for non-commercial events. Other entities may use the space, but it must be hosted in partnership with a UNK group. Library events have first preference for room use. All events held in the public engagement space must be open to the public. 

Advance reservations for use of the Public Engagement Space must be made through the online form or the library administrative office. It is recommended that room reservations be made at least one month in advance by a UNK organization or department representative. Reservations may be made up to four months in advance.  All reservations must go through the Dean of the Library, or designee. The Dean of the Library reserves the right to make special exceptions. 

  • Events must be held during regular Library hours, unless otherwise approved by the Dean of the Library.

  • Children ages 12 and younger cannot be left unattended in the Library while parents/guardians attend meetings. 

  • The meeting sponsor oversees any licensing fees required for audiovisual materials. 

  • Use of the Public Engagement space does not constitute sponsorship or endorsement by the library or the university of the group’s policies, views, or beliefs. 

  • Commercial use of meeting rooms are prohibited, unless the program is sponsored by the library and its affiliated organizations. This includes solicitations, admission or other charges, money-raising activities, and/or sales. 

  • Groups using this space are responsible for needed set up, clean up, and publicity.  

  • Permission to use the Public Engagement Space may be withheld from groups that have failed to comply with the usage policy and from any group that damages equipment, furniture, or causes a disturbance.  

  • Signs or decorations may not be attached to walls and surfaces. 

Reserving group(s) voluntarily and knowingly assume all risks associated with utilizing facilities at the University of Nebraska at Kearney and agree to hold harmless the Board of Regents of the University of Nebraska, The University of Nebraska at Kearney, their employees, agents, and/or representatives of any of these bodies from any claims, damage or liability of any nature arising from our use of the facility described herein.
